Q.

I need to keep a user's mailbox contents around while removing their account, do to their leaving my company. Any suggestions?

Dear Max-ing: Use the GroupWise "Hit the Road" option and create a complete remote mailbox of the ex-employee user account. Next you may want to burn copies of the remote mailbox to a CD to keep on and off site, which will give you extra security.

You can also use it as a backup of messages that you do not want to keep in archive.

For example:

  1. Record the GroupWise user ID.

  2. Login to the GroupWise account online as the ex-employee.

  3. Use "Hit the Road" to create a remote mailbox for the user and set a password.

  4. Change the "Retrieve Options" for the days to include when the employee began employment to when they were let go and get the attachments and messages regardless of size.

  5. Disconnect from the GroupWise system. Use the startup options /@u-? to verify access to the remote mailbox and to the messages, appointments and sent items.

  6. Burn a copy or copies of the remote mailbox to a CD.

  7. Delete the remote mailbox from the local drive. Copy the remote mailbox from the CD to the local drive and test access.

  8. Delete the user from the GroupWise system and then you can access the messages if you need to by copying the remote mailbox from the CD to a local hard drive.
